Part of When to run audience research for social media agencies

Survey tools social media agencies use for compliant research

Compare self-hosted survey plugins, SaaS platforms and panel providers, with tool costs, consent checks and sample-size guidance for social media agency research.

What to take away

  • Tool choice now carries compliance weight: consent gates, hosting location and retention surface in client pitches.
  • Free tiers rarely include the consent gates, custom domains or export rights a client audit will ask about. A UK or EU host keeps personal data inside a regime the agency can explain to a client without a legal scramble.
  • The right choice depends on sample size, question sensitivity and whether the client wants the raw data later.
  • Pair any tool with the wider process in the audience research guide so design, sampling and reporting stay joined up.

Why survey tooling changed

The ICO's guidance on storage and access technologies makes clear that analytics cookies, pixels and embedded survey scripts need a lawful basis and, in most cases, consent before they run.

Self-hosted survey plugins

A plugin on the client's own domain keeps data under the client's control. Consent management plugs in directly, and the ICO's storage guidance can be applied without negotiating a third-party processing agreement. Gravity Forms, WPForms, Formidable Forms and Quiz and Survey Master are the usual picks.

WPForms Lite, Formidable Forms Lite and Quiz and Survey Master have free versions; Gravity Forms licences start at about $59 a year for one site.

SAAS survey platforms

These launch faster and usually analyse better. Check where data is stored, what the sub-processor list looks like, and whether granular consent is supported.

SurveyMonkey's free tier caps a survey at 10 questions and 40 responses, Typeform's free plan at 10 responses a month and Jotform's at five forms and 100 submissions a month. Paid plans from these three typically start between about £20 and £30 per user per month on annual billing.

Panel and sample providers

Useful when the agency needs a representative England sample quickly. Prolific recruits UK participants and publishes the participant pay rate it expects, plus a platform fee.

YouGov, Savanta and Toluna sell sample by quote, priced per completed interview according to incidence, quotas and interview length.

The ASA's AdviceOnline library sets out the rules for social media promotions, including surveys used as lead magnets.

Decision table

Choose

Regulated firm with strict data rules
Self-hosted plugin plus a consent plugin (Gravity Forms, WPForms)
Quick pulse survey for a small brand
SurveyMonkey or Typeform with UK or EU hosting
Research needs a representative England sample
Prolific or a quoted panel such as YouGov or Savanta
Survey doubles as a lead generation ad
Tool with a consent gate, such as Jotform or SmartSurvey
Long-term tracking of audience sentiment
Self-hosted install or enterprise contract with export rights

Avoid

Regulated firm with strict data rules
Free SAAS tiers with unclear storage
Quick pulse survey for a small brand
Panel providers for a 50-person sample
Research needs a representative England sample
Convenience sampling from the client's followers
Survey doubles as a lead generation ad
Tools that fire tracking pixels before consent
Long-term tracking of audience sentiment
Tools that lock raw data behind an upgrade

Compliance points to check before you buy

Ask where the data lives and what happens to responses when the contract ends, as the ICO guidance on cookies and storage technologies expects.

Compliance checks before buying

  • Where does the data live?
  • What happens to responses at contract end?
  • Can non-essential cookies be suppressed until consent?
  • Are sub-processors named in writing?
  • Is a deletion date confirmed?
  • Does paid social creative follow the CAP Code?

If the survey will be promoted through paid social, the creative and targeting also fall under advertising rules. LinkedIn's ad tips and best practices are a reasonable starting point for campaign setup, though they do not replace the CAP Code.

How surveys sit alongside other research

Survey tools answer one question: what does the audience say about itself? They do not show what competitors are doing, so run that as a separate exercise using the competitor research method.

Common questions

Do I need consent for a survey embedded on a client's site?

If the embed sets cookies or reads device storage beyond what is strictly necessary, yes. Choose a tool that supports a consent gate.

Can I use a free survey tool for client work?

You can, but check storage location, export rights and consent controls before you brief a project on one.

How many responses do I need for a useful England sample?

At 95% confidence, about 385 responses give a margin of error near plus or minus 5 percentage points, and about 1,067 give plus or minus 3. For directional work, roughly 96 responses gives plus or minus 10.

Segmentation needs a few hundred per segment, so state the limitation in the report.

Does the CAP Code apply to surveys promoted on social media?

Yes, if the post is an ad or marketing communication. The ASA's AdviceOnline library covers the rules that apply to social media promotions.
